How to setup Access Security for each user on Hansaworld
2013-11-08
I have been trying to figure out how to set security for each user on HansaWorld, but can't seem to get it right. Previously settings, under Person->Start Access Level = Full Access. Full Access seems to allow users to use almost all the module. If I set Start Access Level = No Access, and use Access Groups to control the modules, there are some Actions like editing a Contact that cannot be done.

What is the best practice for security on HansaWorld? Is there a specific manual on security?

Access to HansaWorld by different users is controlled by System>>Settings>>Access Groups.

Each user can be linked to an Access Group, and then the Access Group controls what that user can and cannot do.

If a user is going to have very limited access to the system, then start that user with "No Access", and link that user to an Access Group e.g. "Sales".

In this Access group "Sales", you then add the functions you want the user to be able to access. E.g. Invoicing.

If a user should have access to most functions, then start that user with "Full Access", link that user to an Access Group e.g. "Admin".

In the Access Group Admin, then take away functions that you do not want that person to have. E.g. Maintenance - None.

Instead of having one Access Group per person, rather setup Access Group based on roles. e.g. Sales, Purchasing etc. Then all people in for e.g. Purchasing Department will be link to Access Group Purchasing.

The first module specified in an Access Group, controls which module the user sees first.
